Guidelines for E-Poster Format at EDAIC 23 Congress

To ensure consistency, e-posters must adhere to the following formatting specifications:

  1. Language: Prepare your e-poster in English.
  2. File Format: Save your e-poster in one of the following formats: PPT, PDF, PNG, or JPEG.
  3. File Size: Ensure that your e-poster file is no larger than 10 MB.
  4. Layout: Use a portrait (vertical) orientation with a 16:9 ratio. Set your page size to 80.01 cm width x 142.02 cm height for optimal viewing.
  5. Font and Contrast: Utilize high-contrast lettering and readable fonts, with a minimum font size of 24. Ensure good contrast by using dark fonts on light backgrounds or light fonts on dark backgrounds.
  6. Storage: Save your poster presentation on a USB memory stick and bring it with you to the congress.
  7. Hyperlinks: Avoid using hyperlinks. Instead, incorporate a QR code into your presentation that directs attendees to a website containing additional information about your poster and research.
  8. Flexibility: Adjust the font size, layout, number of sections, and titles as desired. Remember to increase the font size if a section has empty space after inserting text.
  9. Media: You can include pictures, graphs, and tables in your e-poster.
  10. Multimedia: Note that videos and music cannot be included in the e-poster.

Size Specifications:

  • Pixels: The recommended minimum size is 1125 x 2000 pixels, and the maximum is 2250 x 4000 pixels.
  • DPI: Set the resolution to 300 pixels/inch.

To assist you in creating your e-poster, please download the provided PowerPoint template (EDAIC 23 e-Poster Template.ppt) and use it to export your e-poster in the desired format.

Tips for E-Poster Presentation:

  1. Clarity: Due to attendees moving freely between posters and the need to view posters from a distance, keep text to essential information and use large fonts. Save nonessential details for informal discussion.
  2. Simplicity: Communicate your content clearly and keep it simple.
  3. Organization: Ensure the sequence of information is evident. Use numbering, letters, or arrows when necessary to indicate the order of your material.
  4. Visual Appeal: Incorporate captioned illustrations, photographs, graphs, or other visually appealing material to effectively communicate your research.
  5. Concise Conclusion: Summarize your most important findings in a concise statement.
  6. Abstract/E-Poster Judging Criteria: Consider the relevance, clarity, validity, thoroughness, design, presentation of data, and implications for practice. Also, ensure knowledge translation, evidence-based content, and clarity. Include sufficient references.
  7. Knowledge and Presentation Skills: Showcase your expertise and presentation abilities.

Poster Abstract Submission Guidelines:

Submission Deadline: The deadline for abstract submission is the end of the business day (5pm Egyptian time) on September 1, 2023.

Important Note: The presenting author must register at the Congress after the abstract is accepted to have it included in the Congress program.

Abstract Submission:

  • Submit abstracts electronically via email to edacongress2023@eda-egypt.org
  •  Upon submission, you will receive a confirmation email.
  •  The scientific committee will notify all authors of the acceptance decision within one month of submission via email.

Abstract Specifications:

  • All abstracts must be prepared and presented in English only.
  •  Abstracts should not exceed 250 words (excluding title, author names, and affiliation details).
  • The abstract title should not exceed 130 characters (including spaces) and accurately reflect the presented work.
  • The maximum number of co-authors for an abstract is five (5).
  • All abstracts are subject to editorial and scientific review.
  • Each person is limited to one presentation.
  • Author names should be listed with the last name first, followed by initials. Do not separate initials with periods or include authors’ degrees.
  • Separate author names using commas, without a period after the final name.
  •  Include a small photograph of the presenting author at the top of the poster.
  • Affiliation details for all authors (department, institution/hospital, city/town, and country) should be included with the submission.
  • Do not include tables or charts in the body of the abstract.
  • Describe the work presented under the following headings:
    • For research articles: Background, Aim, Methods, Results, Conclusions.
    • For case presentations: Introduction, Case Reports, Comments.
  1. Research Articles:
    • Use bold/capitalized headings for: AIM, METHODS, RESULTS, and CONCLUSIONS.
    • AIM: State the objective of the study in a concise sentence.
    • METHODS: Clearly describe the methods used, providing sufficient detail for replication. State the statistical methods employed.
    • RESULTS: Present the findings clearly, relating them to the described methods. Include relevant data and statistical analysis. Do not include images, tables, or visual data.
    • CONCLUSIONS: Provide a brief outline of the most important findings.
  2. Case Reports:
    • Follow a similar layout to research papers.
    • Include a title page and author addresses as described above.
    • Provide a brief abstract describing the case and treatment provided.
    • Use the following headings in the abstract: INTRODUCTION (briefly explaining the disease or condition), BACKGROUND (briefly explaining the clinical case or technique), CASE REPORT(S) (describing the case in detail), FOLLOW-UP (describing the clinical care and indicating the degree of success), and CONCLUSION (a brief summary).

Poster mounting

All Posters are to be mounted digitally and displayed on the LCD screens located in the Conference Hall.  Each e-Poster will be allocated a screen that corresponds to the Poster number stated in the acceptance letters.
Delegates can view these during the breaks and prior to the allocated time for the designated Oral discussions.
Posters must be displayed on the poster boards on the day of presentation between 08`00-09`00h and taken down at the end of the day.
